In Ostendis, there are two options to remove a job: Delete or Archive. Depending on the goal, there are important differences between these options.
Delete Job
When a job is deleted, it is completely removed from the system, including all associated data and statistics. Applicant data and documents linked to this job are also deleted. Once deleted, jobs cannot be restored.
Archive Job
When archiving, the job remains stored in the system but is no longer visible among the open jobs. All applicant data, applications, and documents are preserved and can continue to be used for reporting purposes or the talent pool.
Data Protection Note 💡 :
The archiving of applications requires the consent of the applicant, especially if the data is to be stored for a longer period. It is recommended to adhere to a retention period of 12 months. Candidates have the right to request the deletion of their data at any time.
When should I use which option?
- Delete Job when all data should be permanently removed.
- Archive Job when you want to keep the data for later analysis or the talent pool.
Companies should define clear retention policies and inform applicants about data processing.
